Pre-release booking system overview
The Pre-release booking system allows eligible customers who exhibited at Fieldays 2024 to pay a booking fee and secure their existing site(s) before the General Applications open. This is designed to provide certainty and improve efficiency for those wanting to roll their site allocation over, as well as streamline the allocation process overall.
Once General Applications open in early October 2024, Exhibitors not already allocated a site will have the opportunity to indicate their top three site preferences.
- Any returning Exhibitors wishing to look at alternate site options or to expand their footprint will need to apply through this General Application process, along with those who exhibited within the ineligible areas.
- Due to application volume, there is no guarantee of allocation at the event, or on the requested sites, however, we will always do our best to meet your preferences.

Pre-release booking system criteria
To be eligible for acceptance exhibitors must:
- Have been the main Exhibitor in one of the eligible precincts at the 2024 event.
- Are wanting to retain some or all of the site(s) held at the 2024 event (not looking to expand, reduce or relocate their site which can only be done during the General Applications process).
- Have a good payment history from the previous event, with no outstanding fees.
- Have a good compliance history e.g., no unsanctioned sublets, compliance with the alcohol management policy, vehicle movement rules, and pack-out deadlines.
- Have a product offering and planned site design that meets the criteria of the precinct.
Pre-Release Booking System Terms and Conditions
Why would the application be declined?
- You do not meet all the Pre-release booking system criteria.
- Due to precinct changes or changes in your product offering, you no longer meet the criteria for the site you held at the previous event.
- Due to layout changes, or positioning of a Fieldays Partner or Sponsor, the site you held is no longer available.
Exhibitors declined in the Pre-release booking round, may still apply for a site in the General Application round which opens in October 2024.
Pre-release booking timeline
Pre-release booking applications for Fieldays 2025 will open during the Fieldays 2024 event and conclude at 5pm on 23 August 2024. After receiving applications, the Fieldays team will review them against the criteria to determine eligibility.
All applications will receive notification of their application outcome by the end of August 2024.
- An acceptance email and booking fee invoice will be sent to those approved.
- Formal notification will be sent via email to those whose Pre-release application is declined. Declined Exhibitors can still apply for a site when the General Application process begins.
By late September, accepted Exhibitors will receive a formal site offer, allowing them to review the site fees for the 2025 event. along with the full Exhibiting Terms & Conditions.
Pre-release booking fee
The booking fee of $450+GST per site which will be invoiced once acceptance to the pre-release booking system is confirmed at the end of August. This booking fee is not a deposit. All booking fees must be paid in full by 20th September 2024. Those not paid by this deadline will be automatically released and will need to re-apply when the General Applications open.
The booking fee is non-refundable, except:
- The Exhibitor declining the formal site offer in writing by 2 October.
- The Society requiring the Exhibitor to relocate due to a site move by Partners and/or Sponsors.
For the avoidance of doubt, the booking fee is waived for Fieldays Partners and Sponsors at the discretion of the Society
